Greenfield is looking for a a Office Administrator to join our growing team. The Front Desk Office Administrator is the first point of contact for visitors, clients, and employees entering the office. This role requires a highly organized and professional individual who can efficiently manage office operations, handle administrative tasks, and provide excellent customer service. They will support site leadership and the People and Culture Team with a variety of tasks, ensuring smooth day-to-day operations and creating a welcoming environment. to join our growing team.

Who You Are:- Ability to multitask, prioritize, and manage time effectively.
- Excellent organizational skills and attention to detail.
- Professional appearance and demeanor.
- High school diploma or equivalent; additional certification in office administration or customer service is a plus.
- Proven experience in a customer-facing or administrative role.
- Strong verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and other office software.
- Experience in D365 ERP system a plus
- Ability to keep information confidential when working in HRIS system
- Strong interpersonal skills and ability to work well with a team
- Customer Service and Reception:
- Greet and welcome visitors, clients, and employees as they arrive at the office.
- Facilitate onsite orientation for all site contractors
- Answer phone calls, direct inquiries, and take messages as necessary.
- Ensure visitors sign in, follow security protocols, and are direct to the appropriate departments.
- Maintain a positive and professional demeanor while assisting clients and visitors.
- Administrative Support:
- Perform general office administrative duties such as filing, data entry, photocopying, and scanning documents.
- Manage incoming and outgoing mail, packages, and deliveries with use of FedEx Shipping
- Assist with scheduling appointments, meetings, and conference room bookings.
- Handle office supplies inventory, ensuring supplies are stocked and organized.
- Assist with preparing documents and presentations when needed.
- Office Coordination:
- Maintain the cleanliness and organization of the front desk area.
- Assist in coordinating office events, parties, meetings, site lunches and other administrative projects.
- Collaborate with other departments to ensure smooth operations and address any office-related concerns.
- Monitor and manage office security, including visitor logs and access control.
- Other Duties:
- Support People and Culture Department with projects, filing, creating badges, mailing and data entry in HRIS system
- Perform other tasks as necessary to support the smooth functioning of the office environment
